1. Who we are
Vetted is operated by TURAS BV, a company registered in Belgium (data controller). Our website is vetted.be.
2. What data we collect
- Account data: email address, name, phone number, and company details when you create an account.
- Identity documents: photos of identity cards, driving licences, and forklift certificates uploaded for manual verification. These are stored securely and used solely for verification purposes.
- Audio recordings: voice recordings made during the screening interview. These are used to assess language proficiency and communication skills.
- AI-generated data: transcriptions and language proficiency scores generated from your audio recordings using third-party AI services (Deepgram for transcription, Anthropic for scoring). This processing only occurs when API keys are configured.
- Usage data: pages visited, time on site, and referral source — only if you accept analytics cookies.
3. How we process your data
- Audio recording: Your voice responses during the screening interview are recorded with your explicit consent. Recordings are stored securely and may be processed by AI services to generate transcriptions and language proficiency scores.
- Document verification: Uploaded documents are reviewed manually by our team to verify identity and certifications. We do not use automated document recognition (OCR) in the current version.
- AI scoring: When configured, transcriptions are analysed by AI to generate language proficiency scores. These scores are advisory — all final decisions are made by human reviewers.
- Manual review: Every candidate profile is reviewed by a human before being made available to employers.
4. Cookies & Measurement
Cookieless measurement (always active)
We use Vercel Analytics, a cookieless traffic measurement tool that does not store data on your device, does not use cookies, and does not collect personally identifiable information. This runs on every page load to give us basic visitor counts and is not subject to cookie consent under ePrivacy/GDPR.
Analytics cookies (consent required)
We also use Google Analytics 4 (GA4), which sets cookies on your device to provide detailed usage insights (pages visited, time on site, referral source). GA4 cookies are only loaded after you click "Accept analytics" in the cookie banner.
Essential cookies
Required for the site to function (e.g. session management, cookie consent preference, language preference). These cannot be disabled.
You can change your cookie preferences at any time by clicking "Cookie Settings" in the footer.
5. How we use your data
- To provide and improve our screening and matching services
- To verify your identity and certifications
- To assess language proficiency through AI-assisted analysis
- To match you with suitable employers (for workers)
- To provide you with pre-screened candidate profiles (for businesses)
- To communicate with you about your account
- To analyse site traffic and usage patterns (with consent)
6. Data sharing
We do not sell your personal data. We share data only with:
- Service providers necessary to operate the platform (hosting via Vercel, database via Supabase, analytics via Google Analytics)
- AI service providers for transcription and scoring (Deepgram, Anthropic) — only the audio/text data necessary for processing
- Employers on our platform — only approved candidate profiles (name, scores, certifications), never raw audio or identity documents
7. Data security
- Identity documents are stored in encrypted cloud storage
- We do not store rijksregisternummer (national registry number) in plain text
- Audio recordings are stored securely and access-controlled
- All data transmission uses TLS encryption
8. Anti-discrimination
Our screening process evaluates language proficiency and communication clarity only. Scoring is based on comprehensibility and fluency, not accent or national origin. All AI-generated scores are advisory — final decisions are made by human reviewers who are trained to evaluate candidates fairly and in compliance with Belgian anti-discrimination law.
9. Your rights (GDPR)
Under Belgian and EU law, you have the right to:
- Access your personal data
- Correct inaccurate data
- Request deletion of your data (including audio recordings and documents)
- Object to or restrict processing
- Data portability
- Withdraw consent at any time

10. Data retention
- Account data: retained while your account is active
- Audio recordings: retained for 12 months after screening, then deleted
- Identity documents: retained for 6 months after verification, then deleted
- Analytics data: retained per Google Analytics default settings (14 months)

We may update this policy from time to time. The "Last updated" date at the top reflects the most recent revision.
